Reproductions Services and Publication Permissions

 

Patrons are allowed to use their own cameras to make copies of the materials in Archives and Special Collections, provided they have read and signed the Researcher Rules for Use of Archival Materials form.

For users who cannot visit in person, limited reproduction services are available. Review guidelines below for more information.

Reproductions

Reproductions of archival and special collections materials may be requested for use in private study, scholarship, or research by filling the duplication request form. Please note:

1. Delivery of duplicate copies does not constitute copyright clearance. Reproductions may not be transferred to others, further reproduced, or published without written permission of the copyrights holder(s). Users assume all responsibility for questions of copyright, invasion of privacy, and rights of publicity that may arise in using reproductions from the library’s collections.

While Archives and Special Collections maintain physical ownership of the items in our collections, we do not hold the copyright for many of them.

  • Many materials in the University Archives and Special Collections may be protected by copyright, trademark, privacy, publicity rights, or other interests not owned by OU.
  • Typically, Oakland University owns copyrights over much of the materials produced by Oakland University units and staff, and materials for which rights have explicitly been transferred to Oakland University.

2. Archives staff will produce all reproductions of archival and special collections materials.

3. Archives and Special Collections charges fees for reproductions (see below). Fees offset a small portion of the costs of processing and preserving collections.

4. Oakland University Archives and Special Collections reserves the right to limit the number of items from a particular collection that will be copied.

5. Some items may not be reproduced or copied due to age, condition, copyright, and access restrictions.

 

Publication permission requests

Permission to publish can be granted, and publication fees are charged, only for materials with copyrights owned by Oakland University.

Authorization to publish, exhibit or distribute reproduced collection materials must be obtained in advance and in writing from the University Libraries by completing the publication request form. "Publication" includes the following media: print, internet, digital, video, film, or microform.

Permission to publish is contingent upon receipt of applicable fees. An approval of permission to publish from Oakland University does not imply that all copyright requirements have been met. For works not in the public domain, the user is solely responsible for securing publication permission from all copyright holders.

Please note:

1. Publication fees are assessed in addition to any reproduction costs, are for specific use defined by agreement, and must be paid in advance of publication.

2. Unless otherwise stipulated by written agreement, permission is granted for one-time, worldwide, non-exclusive use in all languages, for the project specified in the request. For example:

  • One edition of a publication (including reprintings if the text remains unchanged)
  • A single presentation or exhibit
  • A single website or social media post
  • A single video, television, or film production for the life of the production with unlimited rebroadcasts or reissues

3. Publication fees are waived for theses, dissertations, and projects by Oakland University students.

4. University Libraries retains the right, to waive publication fees at its discretion, and retains the rights to grant or deny use of library materials for purposes deemed counter to the mission of Oakland University.

5. Please attribute all reproductions:

Fees

Payments can be made online by credit card. Payment in full is required before orders are processed and / or permission to publish is effective.

OU users: OU users are defined as current OU faculty, staff, and students as well as alumni, and emeriti faculty.

Shipping and mailing costs: There is no charge for digital files delivered via email or online. Costs for special mail handling such as UPS express, overnight delivery, or special shipping will be added accordingly to the reproduction costs.

 

Reproduction Fees

Archives and Special Collections charges fees for reproduction services of materials in its collections on a cost recovery basis. Pricing is determined by the type of material, whether special handling is required, quantity, and other factors. The fees listed below correspond to standard pricing but a more accurate estimate will be generated for the user once the order is placed and reviewed by ASC staff.

A processing fee will be charged for work performed by Archives and Special Collections staff beyond the first hour to help cover the search and retrieval of material, the creation of any thumbnail images needed to make a selection, and any other necessary tasks.

 

High Resolution Digital Images (TIFF, JPEG)

This price is inclusive of a high resolution, 48-bit RGB TIFF or JPEG file and electronic delivery. It applies to photographic prints, transparencies, negatives, and other materials for which the TIFF or JPEG formats are suitable.

Audio, Film, Video

Digital copies of audiovisual materials may be made under certain circumstances to support private study, scholarship, or research. Due to copyright restrictions, we are unable to duplicate any commercially produced audiovisual materials. 

Digitization will be done by an external vendor and fees will be determined by the vendor.

Publication Fees

Publication fees are charged only for materials with copyrights owned by Oakland University. Publication fees are assessed in addition to any reproduction costs, are for specific use defined by agreement, and must be paid in advance of publication.

OU faculty, students, and staff are not charged a use fee for materials with copyrights owned by OU.
